Re: Election for SIMVNC 2010 - 2011 This year, there will be some changes in the exco structure. Here are the specific job descriptions for each position. A .Structure - 1 President - 1 Vice President - 1 Secretary ( and Treasurer ) - 1 Event Director - 1 Public Affair Officer B. Job description : 1. President - Be directly responsible for all activities within SIMVNC, the responsibilities include : Long-run plan for SIMVNC’s activities both internally and externally The use of SIMVNC’s image and name The budgeting of revenues and spending. - Shall make the final decisions if mutual agreements can’t be reached among the team. - Shall issue certificates of appreciation to Project Crew, testimonies and other internal related documents regarding to the events under the name of SIMVNC. - Shall sign the contracts, memorandum of understandings, quotations, and other means of payment with the outsources and sponsors. - Must be able to communicate proficiently in both English and Vietnamese. - Experience in organizing any type of events is a must. 2. Vice President - Be in charge of making important decisions in the absence of the President - Shall recruit and distribute manpower, project crews according to each event and the needs of work. - Shall, on behalf of President, reject or accept any activities or proposals from the project crew. These activities may vary from changing, quitting or joining the team, buying materials, - Shall directly negotiate with sponsors and Student Life’s Services ( SLS ) regarding to the events with the acknowledgement of President. - Together with President, propose the new Structure or any changes within exco and Project Crew - Must be able to communicate proficiently in both English and Vietnamese. - Experience in organizing any type of events is a must. 3. Secretary ( and Treasurer ) - Be responsible to taking notes and minutes of all meetings. - Be responsible to keep track of event’s flows and preparation process. - Be responsible to keep and report SIMVNC’s existing funds, revenues and spending. - Shall reject any unreasonable spending with the acknowledgement of the President - Shall propose allowances and supports for teams and outstanding individuals. - Be in charge of event budget proposals ( breakeven , best and worst cases ), risk management for each event ( what are the risks exposed regarding to the budget ) , final official and published financial statement) . 4. Event Director - Be in charge of event’s planning process . This should include : Event’s agenda and program in detail Event’s program proposal for SLS and Sponsors. Propose job allocation pre-event and during event. Event’s materials and props. - Be in charge of the Performing team and invited Performers - Goodwill and Experience in organizing any type of events is a strong advantage 5. Public Relation Officers - Shall represent SIMVNC to introduce about the community and upcoming events in all official orientations - Shall, under the name of SIMVNC, network and maintain good relationship with exco from other institutions , Embassy , Sponsors and SLS. - Shall reposition SIMVNC as one of the top CCAs in SIM as well as in the whole Vietnamese Community in Singapore. - Be in charge of the information published in websites , facebook and other sources. - Shall propose creative marketing strategies - Have the ability in writing PR articles for newspapers and sponsors. - Must be able to communicate proficiently in both English and Vietnamese.
